Every small business in Cebu has the same attendance problem: a logbook by the door that says everyone arrived at exactly 8:00, and a payroll day spent arguing about it. Fingerprint machines fix some of that and break the day someone's finger is wet. The ListGOPH Staff DTR uses the camera on the phone or tablet you already keep at the counter, and it works the way a paper Daily Time Record was always supposed to.
Enrolment: once, in about a minute
A staff member signs in to their ListGOPH account, opens Face Enrolment, and takes between one and five photos of their face with the device camera. Each shot is checked the moment it is taken: if the frame is blurry, dark, or has no clear face in it, it is rejected right then and they take another. Nothing is saved until every shot has passed, so a bad third photo never leaves someone with their old enrolment gone and no new one in its place.
Three or four shots from slightly different angles give the most reliable clock-ins later. Glasses on, glasses off, both is fine.
Clocking in and out
- The staff member signs in on the counter device and opens Clock In / Out.
- They look at the camera and tap the one button. The system already knows whether their last punch was IN, so the button offers OUT, and the other way around.
- The face is compared with their own enrolment only. This is a one-to-one check against the signed-in account, never a search across everyone. A colleague cannot clock someone in from that person's open browser, because the face at the camera is not theirs.
- The punch is recorded with the time and the similarity score, and today's punches appear below the camera.
A liveness check can be switched on so that a photo of a face held up to the camera is refused. Owners set the match strictness too, from lenient to strict, if their lighting or camera calls for it.
Replacing a face needs a yes
Enrolment is what every punch is verified against, so replacing it is the one action that could let one person clock in as another. A first enrolment is the staff member's own to do. A replacement, after a new haircut, a new phone or a poor first attempt, has to be requested, and the owner or a manager over that person approves it. The approval is spent on use: one yes, one re-enrolment.
Owners also have a Reset for the cases where a request cannot be made, such as a staff member who is locked out or a camera that was down on enrolment day.
The DTR report
The report is deliberately the paper DTR, not a payroll system. For each person, for each day that had a punch:
| Column | What it shows |
|---|---|
| First in | The first IN punch of the Manila calendar day |
| Last out | The last OUT punch of that day |
| Hours | The minutes between each IN and the OUT that followed it, added up |
| Open | An IN with no OUT after it. Today that means "on the clock right now"; on an earlier day it means a missed clock-out, and the row says which |
Nothing is invented for a missed clock-out. A DTR that assumes an eight-hour day when someone forgot to punch out is paying for hours nobody saw. The row shows the gap, and you settle it with the person.
Pick any date range up to three months, and download the report as CSV for payroll. Days with no punch are left out, so a part-timer's report is as short as their week.
Who sees what
- A staff member sees their own punches and their own report.
- A manager sees the staff who share a listing with them.
- The owner sees everyone on their team, and decides re-enrolment requests.
Setting it up
- Invite your staff and assign them to their listing (see Staff and Managers).
- Have each person enrol their face on the counter device, in the light they will clock in under.
- Show them the Clock In / Out page. There is one button.
- At the end of the cut-off, open the DTR report, check the open rows, and download the CSV.
